Are you an experienced Administrative professional seeking a new challenge? Based out of Drumheller, an exciting opportunity exists at Alberta Infrastructure to provide administrative services to the business units within the department, through supporting the Facilities Manager, Facilities Coordinators and Facilities Assistants in the day to day administration, preparation of budget and contract administration. You will also be responding to client requests and dispatches staff or contractors as required.

The Administrative Assistant role is critical in supporting the team with business activities that contribute to the department's mandate. Responsibilities include:

Financial Administration - Assisting with administration of the budget plan including monthly plan spreadsheets for yearly and monthly expenditure documents; reviewing processes and documents to meet audit requirements.

Contract Administration - Coordinating the process of contracting services for maintenance services, minor works and tenant services. Preparing tender advertising documents and submitting to local media, preparing prequalification and acceptance documents.

General Office administration:
- Reviewing, assessing and tracking complex documents and reports
- Records management (hardcopy and electronic)
- Coordinating and scheduling meetings
- Preparing agendas and meeting minutes
- Processing invoices and reviewing expense claims
- Answering incoming calls and directing inquiries to the appropriate staff

Proven ability to work independently supporting programs and teams, using exceptional time management skills to meet work deadlines, professionalism, initiative, attention to detail and strong written and verbal communication will make you a good candidate for this position. The ability to handle many assignments simultaneously and adjust to changing priorities is critical.

Salary: $1,691.44 to $2,066.65 biweekly ($44,146.58 to $53,940.57 per annum). Closing Date: May 30, 2017. Job ID # 1042419.

Qualifications: High School Diploma plus a minimum of two years of progressively responsible related experience in office administration is required.
Experience working with Microsoft Office is required.
Valid Class 5 Driver's License is required
Post-secondary education in a field relevant to the role would be considered an asset. Experience working in the public sector organizations including boards, and agencies is preferred.
This job involves travelling within the portfolio.
