Office Administrator

POSITION SUMMARY:

The Office Administrator will be responsible for supporting company operations by maintaining office systems and supporting the daily operations of the local office as well as the operations leadership team. The successful candidate will primarily be responsible to support the local O&G Services office/operation however head office support may also be required on an as needed basis.

ESSENTIAL JOB FUNCTIONS:

Primary Duties:

-Accurate document filing, management of time keeping records
-Maintain meeting minutes as required
-Maintain jobsite roster and ensure accurate record keeping for OH&S purposes
-Assist field-level hiring manager with new hire onboarding / employee transfers / offboarding process
-Work with management to organize office functions such as safety luncheons, trainings, etc.
-Assist with special projects, such as organizing and setting up project job books
-Greet visitors and direct them to the appropriate person
-Answer incoming phone calls in a prompt, polite, professional manner
-Assist office staff with data entry and scanning / filing
-Assist Safety and Quality team with collection of related project documentation
-Collaborate with other division offices to standardize and align process and procedures such as timecard collection, materials tracking, etc.
-Provide vacation/time off coverage for other division offices
-May require some travel to Field Sites or Division Location Offices
-Duties are subject to change based on MasTec, project and client needs

Secondary Duties:

-Assist with the development and documentation of field level and Oil & Gas Services project management process including administration, cost tracking, time tickets, progress reporting
-Assist with development and ongoing maintenance of Oil & Gas Services SharePoint site
-Provide support to field offices and operations with implementation of new process & procedures
-Provide support to field offices and operations with IT requests including but not limited to computer requests, and being first point of contact should IT support be required
-Assist General Manger, Oil & Gas Services and Human Resources with overall workforce management

EDUCATION AND WORK EXPERIENCE REQUIREMENTS:

-Related experience and/or training or equivalent combination of education and experience in office administration
-Fluent with Microsoft suite including Office 365 and Sharepoint
