Hours: 37.5 hrs/week

Salary Scale: $23.28 to $27.29
Start Date: September 3, 2024

Duties and Responsibilities
-Collect payments for fees and fundraising
-Compile data from a variety of sources
-Maintain accurate records of financial transactions and administrative documents
-Record and categorize financial transactions related to school expenses and revenues
-Reconcile accounts and ensure accuracy in financial records
-Generate financial reports as needed for school administrators and relevant stakeholders
-Collaborate with the finance department to address budget-related queries

-Coordinate with the administrative team to ensure smooth operation of daily tasks
-Create and process purchase orders for school supplies, equipment, and services
-Coordinate and manage coverage for staff absences or scheduling gaps. -Communicate with teachers, support staff, substitutes, and administrators to ensure smooth transitions during absences
-Produce a wide variety of documents (correspondence, agendas, minutes, bulletins, etc.)
-Maintain manual and electronic documents
-Respond to inquiries from a variety of external and internal parties (staff, parents, students, public agencies, etc.)
-Administer first aid and prescription medications to students (under the direction of a healthcare professional) to provide emergency or necessary care per Divisional policies
-Support administrative personnel – assisting where necessary
-Provide other duties as assigned to ensure the efficient and effective functioning of the school.

Qualifications
-Minimum of Grade 12 education
-Post-secondary administrative assistant training an asset
-A minimum of 5 years experience in an administrative role (preferably in a school setting)
-Experience with PowerSchool, SIS, KEV and Atrieve (staff, budget, and purchase order database) an asset

Preferred Abilities
-Strong communication skills (Oral and written)
-Efficient, organized and a strong team player.
-Attention to detail and accuracy in data entry and financial record-keeping.
-Strong organizational and multitasking skills.
-Problem solver and able to maintain confidentiality
-Flexibility and enjoys working in a fast-paced environment
-Familiarity with and enjoyment in a K-12 school environment is preferred.
