The Administrative Assistant is responsible for overseeing various administrative processes, processing of agreements and incentives, being an in-plant contact for external staff and customers, and various data entry and reporting projects. Duties include process improvement and implementing designated initiatives.

Job Duties & Responsibilities:
Check quotes and agreements coming in for accuracy and set up dockets;
Be the in-plant contact for off site and internal staff members and respond to questions regarding agreement/quote tracking in Assistant software;
Process various requests submitted by customers and external staff, including incentive reimbursements, school prepayments, etc.;
Review monthly Online Store Sales to track summary information and pay out funds as needed;
Gather cost information for interdivisional and marketing projects for invoicing purposes;
Support Administrative Coordinator in maintaining pricing systems and tools;
Support Administrative Coordinator in researching and implementing potential workflow efficiencies;
Support Administrative Coordinator in creating and maintaining departmental procedures, processes, and associated manuals;
Assist in various forms of reporting, research and outcome analysis, as assigned;
Rep support activities, as assigned;
Back up for Book Division Reception as needed;
Distribute faxes, forward emails and mail as needed;
Process office supply orders, by request;
Miscellaneous tasks as assigned.
